How to Write an Effective Grievance
Present the issue clearly, respectfully and with enough information for the receiving office to act.
Recommended structure
- Short subject describing the service and problem
- Your relevant application or complaint reference
- Facts in date order
- Previous action and response
- Specific reasonable relief or next action requested
- List of attached documents
Writing principles
- Use facts rather than assumptions or abusive language
- Keep one main issue per representation where possible
- Do not include unrelated personal data
- Keep a copy and acknowledgement
After submission
Record the date, channel and reference number. Follow the published timeline and escalation path instead of repeatedly creating duplicate complaints.
